To request a quote for an audio-visual or digital signage need, please follow the steps below.<\/p>\n\n\n\n<div class=\"wp-block-getwid-section\"><div class=\"wp-block-getwid-section__wrapper\"><div class=\"wp-block-getwid-section__inner-wrapper\"><div class=\"wp-block-getwid-section__background-holder\"><div class=\"wp-block-getwid-section__background has-background has-light-gray-background-color\"><\/div><div class=\"wp-block-getwid-section__foreground\"><\/div><\/div><div class=\"wp-block-getwid-section__content\"><div class=\"wp-block-getwid-section__inner-content\">\n<div class=\"wp-block-columns has-border-color has-light-gray-border-color is-layout-flex wp-container-core-columns-is-layout-83d8d5f7 wp-block-columns-is-layout-flex\" style=\"padding-top:0;padding-right:0;padding-bottom:0;padding-left:0\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<h3 class=\"wp-block-heading\" id=\"g1389f78eed7f\">Step 1<\/h3>\n\n\n\n<div class=\"wp-block-buttons is-layout-flex wp-block-buttons-is-layout-flex\">\n<div class=\"wp-block-button\"><a class=\"wp-block-button__link has-charlotte-green-background-color has-background wp-element-button\" href=\"https:\/\/cws.charlotte.edu\/backup-lst\/our-mission\/needs-analysis-form\/\">Submit Project Request<\/a><\/div>\n<\/div>\n\n\n\n<p>The project request form collects information to help our team understand the need and who will provide financial support and sign-off for the project.<\/p>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<h3 class=\"wp-block-heading\" id=\"g35139dd0489a\">Step 2<\/h3>\n\n\n\n<p><strong>Initial Meeting<\/strong><\/p>\n\n\n\n<p>A member from our AV Integration team will contact the project requestor to set up an onsite meeting to discuss space requirements and any special equipment needs for the project in order to provide a high-level quote estimate.<\/p>\n<\/div>\n<\/div>\n\n\n\n<div class=\"wp-block-columns has-border-color has-light-gray-border-color is-layout-flex wp-container-core-columns-is-layout-83d8d5f7 wp-block-columns-is-layout-flex\" style=\"padding-top:0;padding-right:0;padding-bottom:0;padding-left:0\">\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<h3 class=\"wp-block-heading\" id=\"g75adcd3b1ce5\">Step 3<\/h3>\n\n\n\n<p><strong>Approval Email<\/strong><\/p>\n\n\n\n<p>After the meeting, our team will send an automated approval email through Smartsheet with a high-level budget based on historical projects. The email will be sent to the \u201cProject Approver\u201d listed on the request form.<\/p>\n<\/div>\n\n\n\n<div class=\"wp-block-column is-layout-flow wp-block-column-is-layout-flow\">\n<h3 class=\"wp-block-heading\" id=\"g63858f13be50\">Step 4<\/h3>\n\n\n\n<p><strong>Final Quote<\/strong><\/p>\n\n\n\n<p>Upon approval of the high-level estimate, our team will contact vendors for exact material pricing and send an updated final quote for signature, date, and fund\/account information<\/p>\n<\/div>\n<\/div>\n<\/div><\/div><\/div><\/div><\/div>\n\n\n\n<p><strong>Step 5<\/strong><br>Once a project has been approved, our department will proceed with the following steps:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Order Materials:<\/strong> Once we receive the signed quote with fund\/account information, we will proceed with ordering all materials. It may take up to 8 weeks for all materials to arrive.<\/li>\n\n\n\n<li><strong>Power and Data Needs:<\/strong> We will submit tickets to FM and OneIT to install any necessary power and data requirements.<\/li>\n\n\n\n<li><strong>Project Scheduling:<\/strong> We will begin the installation phase as soon as all materials have been received and the job site is ready for installation.<\/li>\n<\/ul>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"g73290f539126\">Funding responsibility for AV Projects<\/h2>\n\n\n\n<p><strong>Funding for Registrar-Controlled vs. Departmentally Owned Spaces<\/strong><\/p>\n\n\n\n<p>The easiest way to identify these is by the room code. Registrar-controlled rooms are designated with room category \u201c110\u201d. Lab spaces are most often \u201c210\u201d. Room codes are listed in Archibus and 25Live.<\/p>\n\n\n\n<p>The \u201c110\u201d category classroom facilities are classified as an institution-wide resource, even though they may fall under different levels of organizational control. A \u201c110 Classroom\u201d is a room used for classes not tied to a specific subject or discipline. We refer to these as \u201cRegistrar controlled classrooms\u201d. The responsibility for the upgrade and replacement of AV systems and equipment updates lies with the LST department and Academic Affairs.<\/p>\n\n\n\n<p>The \u201c210\u201d category classrooms are subject-specific or discipline-specific. We refer to these spaces as \u201cdepartmentally owned\u201d and funded from an AV support perspective. The college unit or department that owns the space should use the needs analysis request process when updates to the AV systems or computers are needed.<\/p>\n\n\n\n<p>The Classroom Support Team provides technical support for these rooms at no cost to the college or department.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"gc0e9778cd704\">Where can I track the status of my project?<\/h2>\n\n\n\n<p>Click the button below to login to the project dashboard where you can track and learn more about your projects. The project intake deadline is typically mid to late March.<\/p>\n\n\n\n<div class=\"wp-block-getwid-section\"><div class=\"wp-block-getwid-section__wrapper\"><div class=\"wp-block-getwid-section__inner-wrapper\"><div class=\"wp-block-getwid-section__background-holder\"><div class=\"wp-block-getwid-section__background has-background has-jasper-background-color\"><\/div><div class=\"wp-block-getwid-section__foreground\"><\/div><\/div><div class=\"wp-block-getwid-section__content\"><div class=\"wp-block-getwid-section__inner-content\">\n<h3 class=\"wp-block-heading\" id=\"g9df122f7ac50\">FY25 Audiovisual Project Deadline<\/h3>\n\n\n\n<p>FY25 project intake is currently closed to allow for component procurement and installation before the fiscal year end. New requests submitted now will be addressed on a first-come, first-served basis starting in the Fall.
